Terms and Conditions

Read this agreement thoroughly and carefully before booking a trip with us. It is a legally binding contract.


This Travel Services Agreement (“Agreement”) is made and entered into as of [Date], by and between Idaru Travel, hereinafter referred to as the “Agency,” and [Client’s Full Name], hereinafter referred to as the “Client.”


1. Booking Contract:

Please read these terms and conditions carefully. When you purchase any product or book any trip with Idaru Travel, you acknowledge that you i) accept and agree to these terms and conditions and other applicable Idaru Travel policies. The terms and conditions set forth below constitute the entire understanding and agreement between you the trip the participant (“participant,””traveler,” or “you”) and Idaru Travel, with respect to any and all bookings, trips, or transactions made with us and to any and all services, and products organized, arranged, or provided by us (collectively referred to as “trip” herein; “trip” may also be used to refer to only the trip component of our services. If you have confirmed a booking on any Idaru Travel trip or product with more than one traveler named on such booking, you shall be deemed to have accepted these terms and conditions on behalf of all travelers named in the booking.


2. Responsibility:

Idaru Travel is acting at all times as an independent contractor for all suppliers who provide your transportation, accommodations, activities, and other services in connection with your trip. Idaru Travel does not own, operate, or control any of the suppliers of service that provide accommodations, meals, transportation, sightseeing activities, or other goods and services connected with your trip. A supplier’s goods and services are subject to the supplier’s own terms and conditions and liability waivers, as well as local laws and regulations.


3. Client’s Obligations:

In order for us to confirm your travel arrangements, the Client agrees to provide accurate and complete, including all requested details at the time of booking. Necessary details include full name as per passport, date of birth, and any pre-existing medical conditions or allergies you have which may affect your ability to complete your travel arrangements without limitation. We may also request to see a copy of your passport before or during the trip. By booking a trip with us, you represent that you do not have any illness, physical or other conditions that would create a hazard for you or other travelers or affect other people’s enjoyment of the trip. Idaru Travel cannot guarantee the condition or availability of medical facilities in the countries in which our trips are run, which may involve visiting remote or less developed regions. Therefore,

it is the responsibility of the travelers to consult their physician regarding any medical conditions prior to booking a Idaru Travel trip.


Our suppliers reserve the right to conduct common travel industry health screenings (e.g., forehead temperature readings, questionnaires and checks for observable signs and symptoms) and refuse travel to symptomatic or likely symptomatic travelers. If necessary, our suppliers, and/or government or health officials, also reserve the right to quarantine travelers with symptoms of infectious diseases aboard confined modes of transport such as ships, trains, etc.

We reserve the right in our sole discretion to accept, decline or remove anyone from a trip (at or prior to departure or during the trip) if we deem their continuation of the trip to be harmful or dangerous to themselves or other trip participants.


4. Booking Confirmation and Travel Documents:

Your booking is not finalized until you receive a confirmation email from the Agency. The Agency will provide the Client with a detailed itinerary outlining the planned travel arrangements. The Client acknowledges that it is their responsibility to review and confirm the accuracy of the itinerary and promptly inform the Agency of any discrepancies or desired modifications. The Agency will also advise the Client on the necessary travel documents, such as passports, visas, and vaccinations, but the Client is responsible for obtaining and ensuring the validity of these documents.


5. Payment Information and Schedule:

      Booking with a Deposit:

  • Deposit: To book your trip, you’ll be required to pay a non-refundable deposit (“Deposit”). The specific amount varies by trip and is clearly outlined on the booking page or proposal.

  • Deposit Approval: Idaru Travel reserves the right to review and confirm your booking request before proceeding. If your booking is not approved for any reason, your deposit will be fully refunded.

    Final Payment Due Dates:

  • International Trips: The balance of the trip is due 90 days before departure.

  • Domestic/Caribbean Travel: The balance of the trip is due 45 days before departure.

   Installment Plans, Late Payments, and Missed Installments:

 Idaru Travel offers flexible payment options to suit our clients needs. If you choose to book your trip with a deposit, you can opt for convenient automatic bi-weekly or monthly payments, or setup a non-automatic payment schedule choosing between two or three equal installments of the remaining balance due. Upon booking, Idaru’s Concierge Support will contact you for client orientation where you can select the option that best suits your needs.

 Automatic Billing Installment Plans: For automatic billing installment plans, if a payment fails, we will attempt to charge it again within 3 business days. A late fee of $75 will be applied if the payment fails again. You will have 24 hours to contact our office to make arrangements after the notification of the second failed payment. If we don’t hear from you within 3 days, your reservation will be canceled, and a $200 reinstatement fee will apply if you choose to rebook.

  • Non-Automatic Payment Schedules: If you miss an installment payment, you will have 3 business days to make the payment. Should a payment still not be received in our office, we reserve the right to charge the credit card on file for the owed amount. If the payment fails, we may treat it as a breach of contract, cancel your reservation, and enforce the cancellation fees outlined below. We also retain the right to assign your spot to another traveler.

6. Credit/Debit Card Chargeback Policy:

By agreeing to these terms or booking a trip with us, you agree that chargebacks are not an appropriate way to avoid our cancellation and refund policy. We will vigorously dispute any chargeback request, provide this agreement as proof that you agreed to our cancellation and refund terms, and reserve the right to report fraudulent chargebacks to authorities. Should we win any chargebacks that you initiate, you agree to reimburse us for our attorney’s fees, time, costs and expenses in rebutting the chargeback and pay any damages we suffer as a result of your chargeback dispute.


8. Cancellations by Traveler and Refund Policy:

A cancellation will only be effective when we receive written confirmation of the cancellation request from you by email to us at Cancellation by any other means, including social media comments, are not considered by us and do not constitute a cancellation. If you cancel a trip, you will be responsible for the below amounts based on the date we receive your written confirmation of cancellation. Please note that certain itineraries have special cancellation rules, which will be listed in the Trip Notes and Booking confirmation.


90 days or more before departure. Deposit is non-refundable and remaining balance paid will be issued as “Travel Credit” on your account that can be transferred to another trip.


0-89 days or less before departure. No refund possible


By agreeing to our booking terms and conditions, you acknowledge that you are purchasing a trip in US Dollars and should any refunds or credits be given at any point after the time of purchase, you will be compensated in US dollars. Travel credit will expire one (1) year from the date of issue. The Deposit or Travel Credit cannot be exchanged for a cash refund of any type.

No refund is due if a traveler fails to join a trip or leaves the trip prior to its completion for any reason. There will be no refunds for unused services after a trip has commenced. Further, any non-refundable deposits made to third-party suppliers and third-party cancellation fees will be subtracted from any refunds due under this section or trip transfers. In some instances, this may result in a refund amount of $0 after these subtractions. There are no exceptions to this cancellation and refund policy, including for reasons related to weather, terrorism, airline default,

strikes, personal, family or medical emergencies or any other circumstances beyond our control. 


This means that even if you cancel because of medical issues, sickness, travel restrictions/warning, or any other reason, your booking will be subject to this cancellation and refund policy. For this reason, we require that you secure travel insurance or sign a waiver acknowledgement in order to participate on a trip.


9. Cancellation and Changes by Idaru Travel:

Idaru Travel reserves the right to cancel, alter or postpone a trip without prior notice at any time prior to departure or after a trip commences for the safety and/or comfort of travelers, or if it is not viable for us to operate the planned itinerary. Idaru Travel will not be responsible or liable for deposits, payments, incidental expenses or penalties for other services not included in the trip price such as separate reservations handled by participants. If a trip is canceled due to reasons within Idaru Travel’s control, we can offer you a travel credit equal to the trip cost that you have paid or at the Agency’s discretion, a refund equal to the trip cost that you have paid. Idaru Travel factors into the trip a fee of $200 to cover the work involved in planning, booking and organizing your participation from the moment the trip is booked. This fee, at the absolute discretion of Idaru Travel, may be incorporated as an unrecoverable cost if a trip was to be canceled, withdrawn, altered, modified, postponed, or rescheduled. You understand and acknowledge that the nature of this type of travel requires considerable flexibility and you should allow for alternatives. The itinerary provided for each trip is representative of the types of activities that will be included, but it is not a guarantee. While Idaru Travel will do its best to operate all trips as advertised, reasonable changes in the itinerary may be made where deemed necessary by Idaru Travel, in its sole discretion. The routes, schedules, itineraries, amenities, restaurants, hotels, and mode of transport may be subject to alteration without prior notice due to availability issues, local circumstances, weather, or other unpredictable and unforeseen circumstances beyond the control of Idaru Travel. Though this is extremely rare, we must reserve the right to impose surcharges up to 15 days before departure in case of significant changes in exchange rates, unforeseen increases in airfares or other transportation costs, taxes or if government action should require us to do so. In such instances Idaru Travel will cover amounts up to 2% of the trip price and you will be responsible for the balance. If any surcharge results in an increase of more than 10% of the trip price you may cancel the booking within 5 days of notification of the surcharge and obtain a full refund, minus any unrecoverable costs.


10. Travel Insurance:

Travel insurance is required for all of our travelers and Idaru Travel strongly recommends that the Client obtains comprehensive travel insurance to protect against unforeseen circumstances, including trip cancellations, travel interruptions, medical emergencies, and lost luggage. We also highly recommend that your travel insurance also covers Covid-related trip interruptions.

You are responsible for understanding the specifics of your travel insurance policy. You must provide proof of your travel insurance at least two weeks prior to your trip through our Flight & Insurance Survey. If you would like to waive your right to travel insurance, please ensure that you have completed a Waiver of Insurance form.


11. Agency’s Liability:

The Agency acts as an intermediary between the Client and the various travel service providers. While the Agency will make reasonable efforts to ensure the satisfactory performance of the travel services, it shall not be liable for any damages, losses, accidents, injuries, delays, or inconveniences that may arise during the trip. The Client acknowledges that the Agency is not liable for any changes or disruptions caused by circumstances beyond its control, such as natural disasters, political unrest, or pandemic-related restrictions.


12. Images Release and Social Media:

You agree that Idaru Travel may use, re-use, link, repost and reproduce any images, photos, videos, or any written content that you send to us, that are taken by our guides, trip leaders, or that you post online including on social media using our hashtags (e.g.#IdaruTravel, #DreamRoutes,#TravelwithIdaru) in any medium, free of charge and without your right to inspection, for promoting and publicizing our travel products and services worldwide.


13. Authority of Trips:

Idaru Travel trips are run by a trip leader. The decision of the trip leader is final on all matters likely to affect the safety or well-being of any person participating in the trip. If you fail to comply with a decision made by a trip leader, the trip leader may direct you to leave the trip immediately, with no right of refund. We may also elect not to carry you on any future trips, even if they are already booked. In addition, you agree to comply with the laws, customs, foreign exchange, and drug regulations of all countries visited.


14. Governing Law and Jurisdiction:

This Agreement shall be governed by and construed in accordance with the laws of [Your State/Country]. Any disputes arising under or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts located in [YourState/Country].

15. Communication:

By providing your phone number and email, you consent to receive recurring marketing SMS text messages from Idaru Travel at the number provided. Message frequency may vary. You may opt out of these communications at any time by replying STOP. Message and data rates may apply.
